GENERAL SUMMARY :

The Director of Health Care Sales, Marketing, and Admissions works in accordance with established policies and procedures of community and/or specific instruction from the Administrator. Primary responsibilities include providing community relations and the referral inquires necessary to achieve the Heath Care Center Census in Skilled Nursing as well as Assisted Living and Memory Care. It also includes direct contact with medical and business professionals in the surrounding area in order to generate referral activity and soliciting direct referrals from these sources. Is responsible for managing the Health Center admissions process and for establishing and maintaining an open, effective communication between the facility and referral sources, physicians, and third party payers. Helps with coordination of smooth transitions to Skilled Nursing, Memory Care, and Assisted Living from the Independent campus.

PRINCIPAL DUTIES:

Essential Job Duties:

  • Responsible for meeting the Health Care Center’s occupancy levels in accordance with the marketing plan. Results will be achieved through strategic networking with area professionals, including but not limited to: presentations at both the community and the surrounding community at-large, community tours, follow-up telephone calls and appointments to keep the professionals informed.
  • Pre-qualifies sources of professional referrals to determine their ability to send qualified residents to the community. Identifies those key decision makers and communicates with those involved in making or influencing the decision about making referrals to community.
  • Creates new and services existing relationships with professional referral sources. Including telephone contact, community tours, in-office visits at the professional’s office, etc. All contacts with referral sources are accurately tracked in Salesforce and documented accordingly. Responsible for preparation and implementation of a Community Outreach Plan which will detail the planned and actual contacts made with professional referral sources. Will schedule sufficient activity to generate the number of referral leads as outlined in the marketing plan. Functions as the Health Center public relations person, providing tours of the facility and pertinent information regarding admissions as well as occasional off-site visits to hospitals and doctor’s offices.
  • Participate in local organizations identified as bringing value, by making presentations and joining as a member where appropriate, in order to facilitate a broader knowledge of the industry and of the community’s capabilities.
  • Manages health care center public relations to include marketing events held in the health care center. This includes the following: health fairs, screenings, community education programs (CEU’s) and outreach. Assists with planning and executing events that will bring outside referral sources into the community.
  • Supports other members in the admissions/marketing department and assists them with tours, and marketing presentations, collateral materials, and other information that is needed for cusses of the Admissions/Marketing department.
  • Keeps updated about relevant operational, competitive, and company information, in order to respond effectively to inquiries from contacts and convey community message. Does accurate tracking of data that is gathered in Salesforce, but uses this data for strategic planning and is able to report the data information to RSI Board. This requires that individual to have experience in the customer database management system.
  • Participates in discussions with the Administrator, and other relevant community department managers regarding the formulation of resident care policies, contracts, pricing, etc.
  • Develops a formal community relations strategy to be incorporated in the annual community marketing plan, in conjunction with the appropriate LCS Marketing staff and Administrator.
  • Is able to review data collected for the competitive analysis through the outreach efforts and share this information with team members in the department so a Marketing Plan can be completed.
  • Adheres to LCS marketing guidelines.

Conducts admission interviews with the resident and/or responsible party, obtaining all required financial data, signatures, pertinent social information and medical information, attending physician information, and other pertinent and required documentation prior to admission for Skilled Nursing and Assisted Living.

  • Reviews all admission related paperwork with the resident and or/responsible party including Medicare Part A coverage and non-coverage procedures. Prints and reviews resident’s eligibility on the C-Snap Program. Maintains all non-medical record related paperwork in an admissions file for each resident.
  • Maintains on-going census activity such as admissions, discharges, deaths, room transfers, changes in payment methods, and temporary and permanent apartment status. Is able to record this information on the Vision Program with the EMR.
  • Maintains Life Care resident statistics, permanent assignments, temporary assignments, and notifies resident and/or the responsible party of permanent and temporary status in the Health Center. Is familiar and understands the Forum Contracts that include Contracts A and B.
  • Keeps an ongoing daily/monthly census of residents in the Health Center noting admissions, discharges, deaths, transfers, changes in payment methods, and temporary and permanent assignments.
  • Maintains an accurate list of number of days an independent living resident resides in the Health Center.
  • Maintains complete confidentiality regarding admission information and resident records.
  • Ensures that the resident, family, and responsible party is fully informed of the resident’s personal and property rights.
  • Coordinates transportation contracts for outside vendors and keeps abreast of billing and payments in conjunction with accounting.
  • Ensures that required Skilled Nursing and Assisted Living, and memory care admission paperwork is copied and given to appropriate staff in each area.
  • Ensures that rooms in Skilled Nursing and Assisted Living and memory care are ready for occupancy.
  • Assists in coordinating admissions, transfers, and discharges from other levels of care and from other departments.
  • Must have computer skills and be able to enter statistics into Salesforce.

Other duties:

  • Obtains referrals from hospital social workers, physicians, or family members keeping wait lists current.

  • Review Competitive Analysis information from Community Relations Manager and put statistics into the Forum Health Care Center Marketing Plan.

  • Develops and implements special events and presentations targeted as community education, establishing and maintaining status for the community as the premier provider of retirement living.
  • Prepares weekly update of actual referral activity on the Community Outreach Plan. Updates all relevant information into Salesforce on a daily basis.
  • Assists Administrator, Marketing Staff and the appropriate LCS staff in the development of collateral materials press releases and advertising as needed.
  • Reads appropriate healthcare and gerontology journals, newsletters and publications.
  • Completes weekly reports along with other community marketing staff members
  • Attends in-service training and education session as assigned.
  • Performs specific work duties and responsibilities as assigned by direct supervision or administration.

QUALIFICATIONS:

  • Must demonstrate excellent verbal and written communication skills and have the ability to communicate and present in person, in writing, and on the telephone effectively with both large and small groups in English.
  • College Degree preferred and two years’ experience in marketing, admissions in a Health Care setting. Experience in Assisted Living and Memory Care marketing preferred.
  • Skill in use of computer software including MS-Word
  • Must be able to generate a warm, friendly and caring manner on first impression.
  • Position requires frequent( daily), local off-property travel. Must possess reliable transportation.
Must be familiar with and adhere to guidelines related to the Fair Housing Act(FHA) and the Americans with Disabilities Act( ADA) regulations in all aspects of the job including sales presentations and marketing materials.
